EveryGrove LLC ("EveryGrove," "we," "us," or "our") respects your privacy and is committed to protecting it through this Privacy Policy ("Policy"). This Policy describes how we collect, use, disclose, and protect personal information when you visit our website at everygrove.com (the "Site"), use our software platform (the "Platform"), or interact with our voice AI receptionist services (collectively, the "Services").

By using the Services, you consent to the practices described in this Policy. If you do not agree with this Policy, please do not use the Services.

1. Who We Are

EveryGrove LLC is a Florida limited liability company. Our registered agent address is 1 East Broward Boulevard, Fort Lauderdale, FL 33301.

2. Scope of This Policy

This Policy applies to information collected through:

  • Our Site (everygrove.com)
  • Our Platform (used by tree service business operators and their employees)
  • Our voice AI receptionist services (when consumers call a phone number routed to our voice AI)
  • Email and other direct communications with us

This Policy does not apply to third-party websites, services, or applications that may be linked from the Services. We are not responsible for the privacy practices of third parties.

3. Information We Collect

We collect three categories of personal information:

A. Information You Provide Directly

  • Contact form and demo request submissions: name, email address, company name, role
  • Email correspondence with us
  • Information provided when you sign up for or use the Platform: name, business name, email, phone, billing information
  • Photographs, notes, customer records, and other content you upload to the Platform

B. Information Collected Automatically

  • Log data: IP address, browser type, operating system, referring URL, pages visited, time stamps
  • Cookies and similar technologies (see our Cookie Notice for details)
  • Device identifiers when you access the Platform from a mobile device

C. Information Collected Through Our Voice AI Services

When you call a phone number that has been connected to our voice AI receptionist service by an EveryGrove customer, we may collect:

  • Audio recordings of the call
  • Transcripts of the call generated by automated speech-to-text processing
  • Information you provide during the call (name, address, phone number, service requested, scheduling preferences, payment information if requested)
  • Caller ID and call metadata (date, time, duration, originating number)

Recording Disclosure. Calls handled by our voice AI receptionist are recorded. At the start of each call, you will hear a disclosure substantially as follows: "To serve you better, this call is being recorded for training, quality assurance, and data analysis purposes by us and/or our service providers." This disclosure is provided to comply with all-party consent recording laws in California, Florida, Illinois, Maryland, Massachusetts, Montana, New Hampshire, Pennsylvania, Washington, and other states with similar requirements. If you do not consent to recording, please end the call.

4. How We Use Information

We use personal information for the following purposes:

  • To provide, operate, and maintain the Services
  • To respond to inquiries, demo requests, and support requests
  • To process transactions and manage accounts
  • To improve the Services, including training and improving our voice AI models
  • To send service-related communications (account, billing, security)
  • To send marketing communications with your consent or as permitted by law (you may opt out at any time)
  • To detect, prevent, and respond to fraud, abuse, security incidents, and unlawful activity
  • To comply with applicable law and legal process

5. How We Share Information

We do not sell or rent personal information. We share personal information only as follows:

  • With Service Providers (Subprocessors). We share personal information with vendors who provide infrastructure and services on our behalf. A current list of subprocessors is available at everygrove.com/subprocessors.
  • With EveryGrove Customers. When you call a number routed to our voice AI receptionist, the EveryGrove customer (the tree service business) is the controller of your information. We act as a processor on their behalf and provide them access to call data, transcripts, and contact details as part of their service.
  • For Legal Reasons. We may disclose information when required by law, subpoena, court order, or similar legal process; to protect the rights, property, or safety of EveryGrove, our users, or others; or in connection with investigation of suspected fraud or other unlawful activity.
  • Business Transfers. If EveryGrove is involved in a merger, acquisition, financing, or sale of assets, personal information may be transferred as part of that transaction. We will provide notice before personal information is transferred and becomes subject to a different privacy policy.

7. Data Retention

We retain personal information for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

  • Site visitor data (contact form submissions): 24 months
  • Account and Platform data: For the duration of the account, plus 90 days after termination, except where we are required to retain longer for tax, legal, or regulatory reasons
  • Voice AI call recordings and transcripts: 24 months, unless the EveryGrove customer requires longer retention or applicable law requires otherwise
  • Backup copies: Up to 30 days after deletion

Following these periods, we will delete or anonymize personal information.

8. Data Security

We implement reasonable administrative, technical, and physical safeguards designed to protect personal information against unauthorized access, alteration, disclosure, or destruction. These measures include encryption of data in transit and at rest, access controls, vendor due diligence, and regular security review. No method of transmission over the internet or electronic storage is 100% secure, however, and we cannot guarantee absolute security.

9. Your Rights and Choices

A. All Users

You may contact us at hello@everygrove.com to:

  • Request access to personal information we hold about you
  • Request correction of inaccurate personal information
  • Request deletion of personal information
  • Opt out of marketing communications
  • Object to or restrict certain processing

We will respond within the timeframes required by applicable law (typically 45 days under state privacy laws).

B. California Residents

If you are a California resident, you have specific rights under the California Consumer Privacy Act, as amended ("CCPA"):

  • Right to Know. You may request that we disclose the categories and specific pieces of personal information we have collected about you, the categories of sources, the purposes for collection, and the categories of third parties with whom we share it.
  • Right to Delete. You may request that we delete personal information we have collected from you, subject to certain exceptions.
  • Right to Correct. You may request that we correct inaccurate personal information.
  • Right to Opt-Out of Sale or Sharing. EveryGrove does not sell personal information and does not share personal information for cross-context behavioral advertising as those terms are defined under the CCPA. Accordingly, no opt-out is required.
  • Right to Limit Use of Sensitive Personal Information. EveryGrove does not use sensitive personal information for purposes that trigger the right to limit.
  • Right to Non-Discrimination. We will not discriminate against you for exercising your rights.

To submit a request, contact us at hello@everygrove.com. We will verify your identity before responding. You may designate an authorized agent in writing.

C. Other US State Residents

If you are a resident of Virginia, Colorado, Connecticut, Utah, Texas, Oregon, Montana, Iowa, Indiana, Tennessee, or other states with comprehensive consumer privacy laws, you have similar rights to access, correct, delete, and opt out of certain processing. D. Appeals

If we deny your request, you may appeal our decision by sending an email to hello@everygrove.com with the subject line "Privacy Appeal." We will respond within 60 days. If you remain unsatisfied, you may contact your state attorney general's office.

10. Children's Privacy

The Services are not intended for individuals under 18. We do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a person under 18, we will delete it. If you believe a minor has provided us with personal information, contact us at hello@everygrove.com.

11. Geographic Scope

The Services are intended for residents of the United States only. We do not target or market to individuals outside the United States. If you are accessing the Services from outside the United States, please do not submit personal information to us. By using the Services, you consent to the transfer of personal information to and processing in the United States, which may have different data protection rules than your country of residence.

12. Third-Party Links

The Services may contain links to third-party websites and services that we do not control. This Policy does not apply to those third parties. Review their privacy policies before providing personal information.

13. SMS / Text Messaging

EveryGrove sends transactional text messages (proposal notifications, appointment updates, and invoices) on behalf of the service providers who use our platform, to customers who have provided their mobile number and consented to receive them. Message frequency varies. Message and data rates may apply. Reply STOP to opt out, HELP for assistance. We do not sell, rent, or share mobile contact information or SMS opt-in/consent data with third parties or affiliates for marketing or promotional purposes. Text messaging originator opt-in data and consent are not shared with any third parties for any purpose.

14. Changes to This Policy

We may update this Policy from time to time. The "Last Updated" date at the top reflects the most recent revision. Material changes will be communicated through the Services or by email. Previous versions are available on request to hello@everygrove.com. Your continued use of the Services after a change indicates acceptance.
